Onboarding a New Patient


In this live demo of Atlas.md, we walk you through everything it takes to onboard a new patient including signing into your account, enrolling a patient, uploading your patient’s profile information, requesting labs, managing billing, and much more!

Let’s take a look at each step in more detail:

1. Overview and Login

You can use any web browser and navigate to your unique clinic-specific web address provided by Atlas.md.

On the login page, enter your login credentials to access your account.

Dashboard and Sidebar

Once logged in, you’ll encounter your dashboard. You can customize your dashboard by selecting widgets and options that suit your workflow. This could include your calendar, recent activities, note drafts, tasks, inbox, etc. You can move these widgets around, too, so that everything is just where you want it.

On this page, you can also access the sidebar and your profile. Simply click the photo on the sidebar to open the profile sidebar to add and edit any information related to your user profile.

If you’re on a patient’s page, clicking the photo on the sidebar will open up the patient’s profile.

2. Patient Enrollment

There are two ways you can enroll patients into Atlas.md:

Online Enrollment

Copy the unique online enrollment form code provided by your account onto your clinic’s website. From there, patients can simply and easily enter their information and enroll right into your account.

Once a patient enrolls, you’ll be notified via email as well as directly in the Atlas.md EMR.

You’ll notice a red exclamation point on the Patients tab on the top navigation. Click the tab and then select Unconfirmed enrollments to confirm or disregard any potential new patient enrollments.

Manual Enrollment

To enroll a patient manually:

  • Head to the Patient page from the top navigation
  • Click on the plus sign in the upper right corner
  • On the pop-up modal, enter required patient details like name and date of birth
  • Once you’re happy with your selection, click Save and you’re good to go

Billing and Subscription

Once a patient has been successfully enrolled, it’s important to ensure that their billing and subscriptions are set up correctly.

To do this, navigate to the patient’s chart where you can view comprehensive details, including medical history and contact information.

Click on the dollar sign on the sidebar to access the Billing page.

Here you can verify and adjust subscription settings, payment methods, auto-charge dates, and pricing tiers based on age and frequency. You can also add prorated charges for the current month, if necessary.

4. Patient Medical History

To view a patient’s medical information:

  • Head to the patient’s chart
  • Open up their profile by clicking on their photo in the sidebar
  • Under the Medical History tab, you can see all of the medical information that they entered when they filled out the enrollment form
  • Under the Contact Details tab, you’ll see all of your patient’s contact information

5. Scheduling Appointments

To schedule an appointment with a patient, head to their page, then:

  • Click the plus icon in the upper right corner, then select Appointment
    Select the date and time
  • If you’d like to book a certain room or piece of equipment for this appointment, select from the Resource dropdown
  • You can also select to make this a recurring visit, as well as the doctor responsible for the appointment
  • Once you’re happy, select Add Appointment, and Atlas.md will notify the patient via their preferred method of contact

Recording Vitals and Stats

During appointments, you may need to measure your patient’s vitals and stats to make an accurate diagnosis.

To record a patient’s vitals and stats, head to their page, then:

  • Click on the plus icon in the upper right corner, then select Vitals & Stats
  • Enter the various vitals and stats, including temperature, weight, heart rate, etc.

Any vitals and stats you enter will be displayed visually in the form of graphs and charts in your patient’s chart.

Charting a Patient Visit

You’ll likely also need to make notes of your patient’s visit so you can go over them later.

To do this, head to your patient’s page, then:

  • Click on the plus sign in the upper right corner, then select Note
  • Type, dictate, or use macros to make your notes
  • Once you’re happy with your selection, click Save

Ordering Labs

You can request labs directly from the patient’s chart.

To do this, head to your patient’s page, then:

  • Click on the plus sign in the upper right corner, then select Lab
  • Atlas.md integrates with a large number of labs including Quest or LabCorp.
  • Simply select the lab you’d like to work with.
  • The results of the labs will show directly on the patient’s chart and the patient will be billed accordingly

7. Prescribing Medication

Atlas.md makes it easy to prescribe medication to your patient directly from the EMR.

To do this, head to your patient’s page, then:

  • Click on the plus sign in the upper right corner, then select Rx
  • Start typing the medication and Atlas.md’s autocompleter will make suggestions based on your available stock
  • Choose your quantity, units, days, refills, usage instructions, etc
  • You can add multiple drugs to a prescription by clicking Add drug to prescription then adding a new drug
  • Once you’re happy with your selection click Add Prescription

Once the prescription has been created, you’ll be able to dispense medication, print labels, compare prices as well as manage your existing inventory.
